Payment & Regulatory Workflow

Redesign a fragmented billing experience into a transparent, audit-ready compliance workflow.

Payment & Regulatory Workflow

Problem

Finance teams were reconciling payments across four disconnected systems. Regulatory reporting required manual CSV exports and weekly spreadsheet merges. Every month-end was a crisis, and audit preparation consumed an entire week of the compliance team’s time.

Highlights

What started as a billing UI refresh became a deep rethink of how financial transparency and regulatory compliance could be embedded directly into the product experience.

CHAPTER 1

Discovery

POWERED BY AI (LOW CONFIDENCE)

Mapping the billing chaos

Finance teams were reconciling payments across four disconnected systems. Regulatory reporting required manual CSV exports and weekly spreadsheet merges. Every month-end was a crisis.

  • Invoice discrepancies took an average of 5 business days to resolve
  • Compliance officers spent 3 full days per month preparing audit reports manually

CHAPTER 2

Design

A single source of financial truth

I rebuilt the billing surface around an audit-first model: every transaction, adjustment, and dispute is recorded with a timestamp and actor. The UI exposes this trail without overwhelming operators on day-to-day tasks.

CHAPTER 3

Integration

Connecting to regulatory reporting

Automated report generation reduced month-end close from 3 days to 4 hours. Compliance officers could export pre-formatted regulatory submissions directly from the platform.

Lessons

Compliance UX is about reducing anxiety as much as functionality. Visual clarity on audit trails made operators far more confident in day-to-day decisions.

Tradeoffs

We prioritised depth in the billing workflow over breadth in reporting. A full analytics layer was scoped to a future phase.
